Facilities Specialist
Location:
This is a full time on-site position with 5 days a week in the office in Ann Arbor, Michigan.
Job Purpose:
The Facilities Specialist is responsible for supporting daily facility operations and assisting the Vice President of Facilities with a variety of administrative, operational, and event-related activities, including greeting building guests, setting up and tearing down events, conducting routine walkthroughs to ensure the facility is properly maintained and ready for use, and managing mail and package organization. This position serves as the primary receptionist for the organization and requires spending a significant portion of the workday managing front desk responsibilities.
Primary Responsibilities:
- Remain stationed at the front desk for the majority of the workday.
- Manage front desk operations, serving as the first point of contact for employees, tenants, guests, and vendors.
- Ensure proper security procedures are followed during business hours, including visitor registration and access control.
- Maintain inventory of office supplies, kitchen supplies, and storage areas.
- Maintain the weekly recycling schedule.
- Keep workspaces, common areas, and facility environments clean and organized.
- Set up and break down conference rooms for meetings and events.
- Order and replenish supplies for new hire welcome swag bags.
- Perform routine inspections of restrooms, kitchens, and common areas to ensure cleanliness and functionality.
- Assist with general facility operations and projects as assigned.
- Perform other duties as assigned.
Requirements:
- Must be a citizen of the United States.
- Must be eligible to obtain a government security clearance.
- Must be fully vaccinated against COVID-19 unless legally exempt.
- Proficiency with Microsoft Office applications.
- Prior customer service experience required.
- Strong verbal and written communication skills.
- Ability to work independently with strong organizational and problem-solving skills.
- Ability to sit for extended periods while working at a desk or computer.
- Ability to lift up to 60 lbs. as needed.
- Ability to move up to 100 lbs. using rolling event equipment cases.
- Ability to bend, lift, and climb ladders to support facility maintenance activities.
This position is contingent upon the successful completion of a background screening, which may include checks for criminal history, driving records, financial history, and education verification, as permitted by law.
